Conference Name Tags: Engrave the Staff, Print the Attendees

Plenty of conference badges end up in the bin by the exit before the coat check line clears. The volunteer at the registration table may have worn the same one for six years.

Those are two different products, and most organizers buy one kind for everyone. They either pay engraved prices for 400 people who'll toss the badge, or hand the people who run the event a paper card for the fifth year running.

The short answer. Print the attendee badges: full-colour card stock in a holder or on a lanyard, about $0.50 to $3 each from a Canadian printer. Engrave the badges for people who come back: staff, volunteers, board members and regular speakers. An engraved magnetic tag costs about $10 once and lasts for years.

Where we don't fit: we don't print full-colour attendee badges, and an engraved tag makes no sense for someone who'll wear it once. Where we do: the 20 or 30 people who run the event. Their names don't change from year to year, and they're the ones attendees need to find.

When an engraved tag pays for itself

A printed badge at $2.19 costs $2.19 every event. Our engraved tag at $10.23 (the 51 to 100 price) is a one-time cost. By the fifth event, the engraved tag is cheaper. For an annual conference, that's year five. For a monthly members' meeting, it's month five.

That math only works if the tag comes back. So hand engraved tags to people who'll carry them home and bring them next year:

• Event staff and volunteers. Attendees look for them first, so their names should be the easiest to read in the room.
• Board and committee members. They're at every meeting, not just the big one.
• Regular speakers and emcees. People come up to them after every session, and want the name.
• Association members at recurring events. Same faces every month, same names.

Magnet, pin or lanyard?

For attendee badges, lanyards win. They hold a bigger card, work on any clothing, and attendees don't have to think about them.

For staff tags, magnets win. Our tags use three magnets and no pin, so there are no holes in a blazer or a dress. That's the only backing we sell. We explain why in magnetic vs pin name tags. If someone can't wear a magnet, a lanyard badge is the simple fallback.

How to design a conference name tag people can read

• Make the first name the biggest thing on the badge. People read the name first, from across a table. The logo can be small.
• Use two lines, not five. Name, then role or organization. Our engraved tags take exactly that: a name line and a title line.
• Pick high contrast. Black on white or gold reads well. Pale grey on silver doesn't.
• Colour-code by role, not by whim. One colour for staff, one for speakers, one for attendees. Tell volunteers what each means.
• Add a pronoun line only if you'll do it for everyone. Optional fields that some badges have and others don't single people out.

How to organize name tags at check-in

• Sort attendee badges alphabetically by last name, split across tables (A to H, I to P, Q to Z) for a crowd over about 150.
• Keep staff and speaker tags in a separate box at a separate spot, so the people running the event aren't in the attendee line.
• Print a last-minute list the morning of and keep blank inserts and markers for walk-ins and spelling fixes.
• Collect holders and lanyards at the exit if you reuse them. Engraved tags go home with their owners.
