The variables that matter — material, attachment, lead time, file format, and per-unit cost — change shape entirely at volume. This guide walks through the entire process for someone responsible for kitting out a whole organization at once.

Step 1 — Decide on the material before anything else

Step 3 — File and data prep (the part that delays orders)

The single biggest cause of delays at bulk volume isn't production — it's incomplete files. Get these right before placing the order:

1. Logo file — vector format (SVG, AI, EPS, PDF). Bitmap PNG works for very simple logos but text inside the logo will look soft. If you can't find a vector, a high-res PNG (2000+ px wide) is acceptable.
2. Names + roles spreadsheet — one row per person. Columns: Full Name | Role/Title | Department (optional). Save as CSV or Excel. Triple-check spelling — engraving is permanent.
3. Layout decision — Will every tag have the same layout? Or do you want managers in a different style? Decide upfront.

Step 4 — Lead times by quantity

4. We engrave each tag individually with the corresponding row from the spreadsheet
5. QC: every tag is inspected against the spreadsheet before packing
6. Shipped: by name, in alphabetical envelopes, OR all together — your call

Mistakes that cost orders to fail

• Approving the proof without reading it — typos in your spreadsheet become typos in steel. Re-engraving costs the same as the original.
• Last-minute role changes — once production starts, late changes mean re-engraving from scratch. Lock the spreadsheet a day before order.
• Using your logo's wordmark file when you wanted the icon — confirm which version of your brand mark fits the tag size. Wordmarks often won't read at 1.5" wide; the icon does.
• Ordering exactly the team count — always add 5-10% for new hires, replacements for lost tags. Tags are cheaper to order with the original batch than separately later.
